Calendar connection privacy

This notice covers the optional calendar overlay for visitors choosing a meeting time. It describes Google Calendar and Outlook connections. Staff calendar integrations and the booking details you submit are separate from this overlay.

Access and use

When you choose to connect, the page requests read-only calendar access from Google, or basic read-only calendar access from Microsoft. It uses event information, including titles, identifiers, start and end times and availability status, to display your primary calendar alongside available meeting times.

The overlay does not request access to your email inbox or permission to create, change or delete calendar events. It currently displays timed events; shared and secondary calendars and all-day events are not included.

Storage and sharing

Your browser retrieves calendar events directly from your calendar provider. The overlay keeps its access token and event data in the current page's memory. It does not send them to the ALTRUICITY application server, save them in the booking database or share them with the meeting host.

Overlay calendar data is used only to show your calendar during that visit. It is not used for advertising, sold or used to train AI models. ALTRUICITY's use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.

Your choices and retention

Connecting is optional. Declining access or removing a connection does not prevent you from booking. Hiding the overlay keeps its connection available for the current visit. Removing the connection, reloading the page or closing it clears the page's copy of the token and events.

Removing a connection from the page does not revoke the authorization held by Google or Microsoft. You can revoke that authorization in your provider account's connected-app or permissions settings. Your original calendar events stay with your provider.
